As the first point of contact for clients and guests, you’ll play a vital role in shaping first impressions while ensuring the smooth day-to-day flow of office operations.
Responsibilities
- Greet and assist clients, visitors, and team members with professionalism and a warm demeanor.
- Handle incoming calls, emails, and inquiries, ensuring they are directed to the appropriate departments.
- Maintain an organized reception area and provide a seamless experience for guests.
- Schedule and coordinate meetings and appointments for the team.
- Assist in managing office supplies, couriers, and general administrative support.
- Maintain and update records, databases, and stock inventories
- Coordinate with brokers, management, and marketing teams to ensure smooth operations.
Qualifications
Education & Experience:
- High school diploma or equivalent (required); associate’s or bachelor’s degree is a plus
- 1–2 years of experience in a receptionist, administrative, or customer service role
Skills & Competencies:
- Excellent verbal and written communication skills
- Strong interpersonal skills with a friendly and professional demeanor
- Proficiency in Google Workspace and Microsoft Office Suite
- Ability to handle multiple tasks simultaneously with strong organizational skills
- Attention to detail and a commitment to accuracy
- Ability to maintain confidentiality and handle sensitive information appropriately
- Ability to maintain a polished and professional appearance every day
