We are looking for an Executive Assistant & Office Administrator for a Commodity Trading Company based in Dubai.
Location – Dubai, UAE
Salary – 12,000 - 14,000AED/month + annual bonus + benefits
Requirements:
- At least 5-8 years’ proven experience as an Executive Assistant, Office Administrator, or similar role
- Someone who has experience of working with the DMCC portal an advantage
- Proficient in MS Office, with a special focus on Excel, PowerPoint, and Word
- Excellent organizational and time management skills with a high attention to detail
- Strong communication and interpersonal abilities, with a “can do” attitude
- Ability to multitask and prioritize daily workload
- Excellent written and spoken English
- Collaborative personality
- Discretion and confidentiality
- High School diploma minimum
- Stable work background – not someone who changes jobs frequently
- Must currently reside in the UAE
Key Responsibilities:
- Provide high-level administrative support to senior executives
- Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with discretion and maintain the privacy of senior management.
- Oversee the day-to-day administrative operations of the office.
- Coordinate office management activities, including office supply inventory, maintenance of office equipment, and managing office space and layout.
- Act as a point of contact for internal and external stakeholders.
- Organize and maintain files and databases in a confidential manner.
- Facilitate internal communication by distributing information and coordinating office activities.
- Arrange and coordinate meetings and events, including logistics, attendees, and agendas.
- Liaise with staff, suppliers, and clients on behalf of senior management.
- Occasionally assist the CEO with personal errands as required, demonstrating flexibility and a willingness to support beyond professional tasks. This may include but is not limited to organizing personal appointments, running errands, and managing personal schedules.
- Ensure a high level of discretion and confidentiality in handling the CEO’s personal matters, reflecting the trust placed in this role.
